The A Side A Day in The Life
Primarily to provide comprehensive support to the Legal & Business Affairs team, as well as keeping the office running smoothly and assisting other members of the department and broader label where necessary.
The B Side Skills Experience
Be Administrative
- Typing agreements using Word, Outlook and audio skills
- Answering telephone and taking messages where necessary as well as fielding calls for the department and dealing with calls on own initiative
- Answering queries and or redirecting them where necessary
- Preparing and issuing own correspondence as necessary
- Managing the payment of supplier invoices via the Universal Payment System
- Filing, both current and archived. Archiving files as necessary and ensuring active files are moved when completed. Scanning documents and saving to shared drives
- Assisting with the preparation of photographs, TV appearances and video agreements and letters, ensuring execution circulation and filing
- Maintaining and updating department information schedules – e.g. NRI analysis
- Referring compilation, synchronisation and premium requests
- Other general administrative duties, including providing assistance to other teams within the label, as requested by the manager from time to time
Key Performance Measures
- Telephone queries are answered in a professional, efficient and courteous manner
- The job holder communicates appropriately and effectively with all levels within the Company and externally
- All work is produced to a high standard of accuracy, for example, when making changes to contracts very minor errors only should be evident, if at all, as a result of self-checking
- All work is produced within agreed deadlines
- Problems, issues or requests for information are communicated to the Legal & Business Affairs team in a timely manner
- Department filing is kept up to date
- Requests for assistance from members of the team are greeted with a helpful and flexible approach
Person Specification
- Accurate typing skills
- Good IT skills, especially in Word and Excel
- Excellent spelling and grammar
- Proven experience of working under own initiative and as part of a team
- Proactive approach to work, able to pre-empt problems before they occur
- Able to work well under pressure and to tight deadlines
- Excellent organisational skills and able to pay meticulous attention to detail
- Committed with a flexible, “can-do” attitude
- Interest in working within Legal in the music industry
