As a Helpdesk Co-Ordinator within our prestigious Grosvenor Estates account, your main responsibilities will be to co-ordinate the Engineering tasks across a portion of the estate we maintain. Communication is paramount when liaising with Grosvenor and their customers to arrange for works to be undertaken. Our ideal candidate needs to be organised and upfront with the coordination of planned and reactive tasks to ensure minimum disruption to Grosvenor's service charge payers.
Supporting and co-ordinating our engineering team, who are mobile across Mayfair and Belgravia, this role is the critical in ensuring we deliver our services in the right way with the right resources. Working with our supply chain and internal expertise, you will support in the management and delivery of contractual obligations and client expectations.
Scheduling work orders on the CAFM system and ensuring jobs are managed through to completion, including writing and submitting quotes to the client and ordering materials, are key elements of this role. Ensuring administration required to comply with process and procedures and compliance around statutory tasks is critical.
You will also be ensuring contract specific KPIs and First-time fixes are met and that client / customer communications are comprehensive and timely, liaising with stakeholders to ensure effective programming of PPM and Reactive tasks.
Core functions of the role include
- Maintain PPM schedules, ensuring dates are met
- Assign planned works to dedicated engineers via our scheduling technology
- Book in PPMs with Grosvenor sites and residents
- Assign reactive works to dedicated engineers via our scheduling technology
- Build site knowledge and relationships with local stakeholders
- Direct relationship with dedicated engineers and their working patterns
- Raising of quotes, and the end-to-end management of purchase orders
- Build relationships with our key supply chain, ensuring contracted PPMs and reactive support is delivered quickly and with value for money
The ideal Candidate will be able to work under pressure and to tight deadlines, have excellent attention to detail and be able to provide excellent customer service to our clients in answering the phones, managing emails and face-to-face communications; and have recent similar experience within a Facilities Management setting, working with a CAFM system.
