The Volkswagen Group UK National Learning Centre is the UK’s largest automotive training facility. Located in Milton Keynes, the centre is home to the Group’s training operations, developing our base of 26,000 retailer learners in the UK. Calex is the supplier of learning services, working in partnership with Volkswagen Group UK.

    The role

    Reporting directly to the Partnership and Performance Manager with a responsibility to work with and support the Calex and Volkswagen Group First Line Management Team.

    Main tasks and responsibilities

    • Support the successful delivery of simultaneous business projects, each with individual stakeholders, resource requirements, success measures and timelines
    • Create and deliver high quality stakeholder reporting/updates
    • Administer Calex finance quotes, reconcile purchase orders (PO’s), supplier invoices and receipts, create budget forecasts, raise and follow up sales invoices, and maintain accurate and timely business reporting
    • Create and deliver high quality activity reporting
    • Plan and manage all key first line meetings with required stakeholders, from room booking and preparation of documentation to attending meetings and capturing minutes and key actions
    • Ensure all meeting documentation is complete, current, and stored appropriately, with actions followed up and updated in accordance with meeting cadences and terms of reference
    • Support Calex and Volkswagen Group First Line Management Team with any ad hoc requirements
    • Manage and drive ongoing creation of and maintenance of businesses processes linked to contract wide administrative activity
    • Ensure that records and data are accurately maintained, and that information provision is fast, efficient and effective
    • IT set up including new user and leaver requests, equipment requests and returns
    • Administer software and licence requests, monitor usage and support with forecasting future requirements
    • Maintain accurate hardware asset lists

    Person requirements

    • Highly proficient user of Microsoft applications (in particular PowerPoint and Excel)
    • Good working knowledge of project management software
    • Experience in project planning and coordination
    • Experience in coordinating multiple projects simultaneously
    • Experience in process mapping
    • An effective communicator
    • A team player yet capable and willing to work on own initiative
    • Comfortable with taking an innovative approach to the solution of business delivery issues
