Key Responsibilities

  • Coordinate office activities and events 
  • Manage accommodation/travel arrangements/appointments etc. for staff and visitors 
  • Manage phone calls and correspondence (e-mail, letters, packages, postal franking)
  • Manage internal phone system ensuring staff lines are correctly set up and communicated throughout the Company
  • Support Company recordkeeping, tracking and cross-referencing invoices and purchase orders, ensuring that they are correctly processed or forwarded to relevant department
  • Handle expenses and billing queries from staff and Company suppliers 
  • Create and update records and databases with personnel, financial and other Company systems
  • Track stocks of office supplies and place orders when necessary
  • Submit adhoc and timely reports for departmental managers
  • Managing all facilities enquiries from staff and site visitors, liaising and engaging with third party contractors
  • Coordinating IT queries from staff and visitors, working in conjunction with third party IT provider to ensures smooth onboarding of new starters
  • Overseeing fire safety and the alarm access site security system 
  • Managing Company fleet vehicles, liaising with fleet provider and staff to resolve daily queries 
  • Meet and greet site visitors with adhoc reception duties Inc. directing delivery personnel to good inwards
  • Maintain internal Operations training and exams system
  • Maintain internal Company intranet system
  • Assist colleagues with all administration and general queries Inc. photocopying, document printing, whenever necessary
  • Maintaining the upkeep of the Company asset register

Emergency Response

  • Maintain knowledge of the emergency response programme policies, processes and procedures, as defined by the Emergency Response Procedures. Be prepared to respond in a crisis as an ERP representative, if required by the role.

Essential Skills & Qualifications

  • Possess strong IT skills and experience of working with Microsoft Office, including Word, Excel and Power point
  • Five GCSEs or equivalent, including A* - C in English and Maths
  • Full, clean driving licence
  • Willingness to work out of normal working hours if required
  • Excellent interpersonal skills and a proactive approach to work
  • Confident, approachable and enthusiastic
  • Ability to handle confidential and sensitive information
  • Accurate, numerate and excellent attention to detail
  • Ability to Multitask
  • Team player with the ability to work with a degree of autonomy
  • Flexibility to travel when required
  • First Aid training 
  • Fire Marshall training 

Desirable
