The People Experience department is a key staple within Sony Music. Our multi functional team spearheads all things people at Sony, our employees are our focus and we all have a passion for creating the best workplace for all. There are 4 main teams, Operations, Learning & Development, Diversity & Inclusion and Talent Acquisition and we all work closely together across different projects.

The role

In this role you will manage the administration of our core PX systems including the HRIS database, holiday and absence management system, emergency notifications site and headcount planning tool, for all Sony Music Entertainment UK departments. This role will support the HR Coordinators in administering the system onboarding for all new joiners, oversee data updates and regular auditing of our systems and ensure high levels of data accuracy and efficiency across touch-points. Together with the support of the whole PX operations team, you will deliver a best-in-class HR service to our colleagues, allowing them to make their mark – on music and beyond.

What you’ll do

  • Create all new starter records in the HRIS system.
  • Manage contracts, offers and new joiner paperwork; handing over starter set-up and communications process to HR Coordinators once completed.
  • Set up new starters on the emergency notification system prior to joining.
  • Maintain digital staff files, saving and collating all starter paperwork from e-sign and Coordinators (passports, references), in time with payroll processing deadlines.
  • Set up new starter accounts on the holiday booking system, sharing access details with joiners.
  • Administer all personal information changes on HRIS including line manager, addresses and bank details changes. Saving corresponding evidence to digital staff files.
  • Maintain and update the headcount management system – creating vacancies and updating staff changes.
  • Conduct regular HRIS system data auditing – monitoring missing information, line managers and job codes.
  • Collaborate with US-based systems team in creating/updating system fields.
  • Support Reward Manager and BPs in reviewing and auditing job code levelling, correcting/highlighting errors and supporting benchmarking activity.
  • Maintain emergency notification system – manage the live data changes to starters and leavers.
  • Administration of the holiday booking system– updating joiner records, mainintaining and auditing line managers and teams, making corrections for staff accounts.
  • Management of Spotify subscription inbox - code allocation/ordering new codes.
  • Ad-hoc reporting from systems when required across client groups.
  • Note taking as required for formal meetings.
  • Assist on system integration projects, creating process workflows and conducting data checking/mapping activities.
  • Collaborate with HR Coordinators to evaluate HR operation processes and co-design solutions to enhance efficiency and effectiveness

Who you are

  • Experience of data entry and people data systems.
  • Excellent organisation and prioritising skills
  • Ability to work independently and use own initiative
  • Curious and proactive in questioning and reviewing data
  • Ability to listen, express and articulate information effectively both verbally and in written communication to team members.
  • Strong IT and System experience, particularly Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Proven email in-box management skills.
  • Exceptional attention to detail

  • Ability to identify and highlight problems providing viable solutions
  • Adaptable and resilient

  • We do not require you to have a degree or qualification in order to apply for this internship but you do need to be over 18.
  • The start date for the programme will be in January 2023.
