Studio Production produces world-class visual assets for NET-A-PORTER, MR PORTER, YOOX, THE OUTNET and ONLINE FLAGSHIP STORES Powered by YOOX NET-A-PORTER GROUP. Operating from our London HQ and US studio in New Jersey as well as Italian centres for excellences, our team includes Studio Coordinators, Product Library, Styling, Size and Fit, Photography, Video, Retouch, Product Editorial and Translations teams, with many working across a combination of all Group’s websites each week.

The Product Library team are now seeking a talented Product Library Coordinator to join the team based in our offices in London. Reporting into the Product Library Team Leader, you will be tasked with monitoring and controlling the product movements, deliveries and stock transfers between the Studio and distribution centre. Here is a breakdown of what you’ll be doing

  • Have a solid understating of studio capacity and studio deadlines with end-to-end processes. Be able to confidently communicate delays and potential missed deadlines to upload and all studio teams.
  • Actively manage the start and end of the upload process in regards to product and its intake.
  • Liaise with Styling, Product Editorial, Retouch and interns/work placements across Studio to action requests where possible.
  • Communicate with Studio Production Coordinators to minimise rollovers and any additional cost or loss of capacity due to product and/or fulcrum discrepancies.
  • Translate set predictions to product deadlines.
  • Work with in-season upload teams to ensure Studio capacity is met on a weekly basis.
  • Responsible for the fast track processes for studio/upload to ensure capacity is sustained where possible.
  • Manage the day-to-day of assigned Assistants, setting expectations, and monitoring progress daily.
  • Facilitating the maximum potential of full price sales by returning all priorities within SLA.
  • Manipulate data and cross reference with our systems to ensure product sales are maximised across the website.
  • Ensure a low level of product/system discrepancies across the channel and report any that occur.
  • Interpret stock holding reports to ensure an accurate flow of product across the channel.
  • Support Senior’s in the upkeep of product in the library including stock rotation.
  • Work closely with Senior’s to gather, identify and support with training and development throughout probations.
  • Review and update all training material including manual for assigned channel.
  • Act as a brand ambassador and offer support to the assistants allocated to you on a daily basis.
  • Manage the standards of allocated areas within the product library within your channel.
  • Have an in-depth knowledge of your channel and attend regular blocker meetings to identify problem areas.
  • Implement and follow a solid vendor process for Studio and ensure pre-shoot forms given by the retail team are accurate.
  • Ensure all stock is electronically tagged and tracked as per the PL policy to minimise loss for studio and across the business.
  • Ensure product requests are in proportion to the level of returns.
  • Work with Senior Coordinator in supporting and guiding ad hoc projects.
  • Be proficient in the use of our internal systems such as XTracker, TMR and fulcrum to manage and track workflow and deadlines.
  • Able to effectively and confidently communicate with all levels of the business – able to manage up when required.
  • Build and maintain strong business relationships.

The type of person we are looking for

  • Previous experience in a retail environment with stock management responsibilities.
  • Proven experience in conducting stock audits.
  • Proven experience in stock process implementation and/or improvements.
  • Proven experience in a team working environment with the ability to work on own initiative.
  • Is proactive in planning to achieve targets and objectives which deliver profitable outcomes.
  • Excellent communication skills (verbal and written).
  • A good eye for detail.
  • Exceptionally well organised and efficient.
  • Excellent work ethic and ability to multi-task in a busy environment.
  • Service driven attitude with proven ability to work to stringent deadlines.
  • Strong Microsoft Excel skills.
