We are looking for an Analyst or an Assistant to join our Planning team in London, within the Japanese Banking Europe (JBE) Department.
Profile summary
- Manage extensive Planning matters especially GA tasks for JBE and also have the supporting role of PA for the GM. Support a senior team member who provide full range of secretarial, administrative services to the head of JBE (GM) to enable the best use of his time. Additionally, support administrative services for other management and any other staffs in JBE.
- Take charge of the budget control of the whole department, especially travel and entertainment expenses and report the situation to the Head of JBE Planning team.
- Support the team members in the Planning team who engage in extensive general administrative and Planning team’s business planning/promotion tasks for JBE.
Duties and responsibilities
- Make full arrangements for the Bank’s hosting of functions, internal and external meetings and client events such as business seminars and networking reception. It includes the arrangement of an appropriate correspondence, venue and catering. Issue event information to attendees and advise the management on attendees’ background and business relations.
- Arrange and coordinate the internal meeting hold by JBE, as confirming schedule, sending invitation, setting web meeting information etc.
- Support to arrange the business trips for the executives of Head Office and any others arranged by JBE.
- Take charge of the budget control in JBE (Mainly Entertainment & Travel Expenses) and report the situation periodically to the Head of Planning.
- Process expenses and pre and post approvals for business trips and gift & entertainment.
- Arrange the office facilities, stationaries for JBE to make the working space comfortable for the whole JBE department.
- Manage, arrange and support the external and internal appointments of GM and if needed coordinate with various agents for his and guests’ transportation.
- Collaborate with and support the team members in the Planning team who engage in extensive general administrative and business promotion/planning tasks including any ad-hoc tasks.
- Take care of Joiners and Leavers procedures, and arrange trainings.
Qualifications, skills and experience
- Fluency in English and Japanese
- Good personal assistant skills.
- Good communication skills and interpersonal skills (empathy, influence, assertion/persuasion etc.) .
