Joining the Human Resources team at EMBL-EBI in Hinxton, you will have the opportunity to support scientists around the world, whose mission is to improve biodiversity in the face of climate change and make discoveries leading to improved human health. EMBL is an intergovernmental organization, and is an Associated member of Coordinated Organizations. 2024 is an exciting time for our HR team as we work to implement a new ERP (Enterprise Resource Planning) system across EMBL's 6 sites. Delivering modern HR practices will increase efficiencies and enable the team to focus on what matters most, our people.

During this busy time we have an opportunity for an Intern (trainee) to join the HR Operations team in Hinxton for a period of 6 months starting as soon as possible. This opportunity would suit a recent graduate or someone studying a HR degree who is interested in gaining experience in HR administration and is excited by the challenge of providing excellent service in a stimulating international environment.

Your role

You will be part of the HR team responsible for delivering high quality services acting as the first point of contact for HR-related queries from employees and external partners. Supporting our team of HR Partners and Administrators, you will have to juggle a range of administrative tasks in a timely manner.

What you will do

You will gain hands-on experience in a range of HR administration processes in our diverse and international organization. No one day is the same and there is always something different happening but in particular, you will be responsible for the following:

  • Managing the HR Inbox and responding to queries ensuring a continuous excellent employee experience.
  • Drafting employment certificates and contracts.
  • Maintaining HR records in our ERP system and updating HR databases.
  • Supporting staff with immigration processes, coordinating visa applications and liaising with the UK Foreign, Commonwealth and Development Office.
  • Assisting in onboarding and offboarding of members of personnel.
  • Supporting the Operations team in the implementation and communication of HR policies, procedures and initiatives.
  • Participating in HR transformation projects by researching trends, benchmarking best practice, organising meetings & events and contributing to presentations, reports and documentation.

What you will need

  • We are looking for a proactive team player who would like to pursue a career in Human Resources. As our ideal candidate, you are studying/ have a degree or completed an apprenticeship in Human Resources Management, Public/Business Administration or a related field.
  • Ideally, you have a basic understanding of HR administration and the office environment generally with great attention to detail.
  • With a commitment to providing exceptional customer service, you have integrity and are able to work effectively with people of different cultural backgrounds.
  • You will also need to have good organisational skills, reliability as well as the ability to plan and prioritise your work.
  • Innovative and analytical with a flexible mindset, you are able to effectively communicate and collaborate cross-functionally.
  • You are a curious quick learner who constantly looks for ways to improve and is capable of working autonomously.  

You might also have

  • Prior experience in using HRIS (Human Resources Information System) 
  • Knowledge of HR processes and procedures
